Data Retention Policy

This policy describes how long Prodigent ("we", "us", or "our") retains different categories of information when you use prodigent.ai or our application at app.prodigent.ai. It supplements our Privacy Policy.

Purpose

We retain data only for as long as necessary to provide the Service, meet legal obligations, resolve disputes, enforce our agreements, and maintain security. We apply the shortest retention period that is reasonably practicable for each category of data.

Account and profile data

We retain your account information — including name, email address, profile photo, authentication identifiers, and account preferences — for as long as your account remains active.

If you delete your account, we delete or anonymize associated personal data within 30 days, except where a longer period is required or permitted as described below.

Workspace and product content

Workspace data — including initiatives, events, decisions, snapshots, comments, reactions, links, and related metadata — is retained for as long as the workspace exists and your team continues to use the Service.

Content you mark as archived within the product (such as archived events or initiatives) remains stored so your team can reference it, unless you or a workspace administrator removes it or the workspace is deleted.

When a workspace is deleted or has no remaining members, associated workspace content is deleted within 30 days.

Integration data

If you connect Slack, we retain OAuth tokens and the Slack messages or threads you choose to import for as long as the integration remains connected and the associated workspace content is retained.

When you disconnect Slack from a workspace, we delete stored OAuth tokens promptly. Imported Slack content already saved in Prodigent follows the retention rules for workspace content above.

Billing and subscription data

We retain billing-related identifiers (such as Stripe customer and subscription IDs), plan history, and invoices for as long as your account or workspace subscription is active.

After cancellation or account deletion, we may retain billing records for up to seven years where required for tax, accounting, fraud prevention, or legal compliance. Payment card details are processed and stored by Stripe, not on our servers.

AI feature data

When you use AI-assisted features such as snapshots or Ask, we retain the resulting outputs as part of your workspace content. We retain usage metadata (such as token counts and feature type) for billing, abuse prevention, and service improvement for up to 24 months.

Context sent to third-party AI providers for a specific request is processed according to those providers' policies. We do not use your workspace content to train general-purpose AI models.

Support and contact data

Information you submit through our contact form or support channels is retained for as long as needed to respond to your request and maintain a record of the interaction, typically up to 24 months.

Marketing site analytics

Usage data collected through Google Analytics on our marketing site is retained according to Google's configured retention settings. You can limit analytics collection through browser privacy settings or extensions that block analytics cookies.

Security, operations, and legal holds

We may retain certain data for longer periods when necessary to:

  • Comply with applicable law, regulation, or legal process
  • Investigate or respond to security incidents or abuse
  • Enforce our Terms of Service or other agreements
  • Maintain backups that are overwritten on a rolling schedule

Backup copies may persist for up to 90 days after primary deletion before being overwritten. Data subject to a legal hold is retained until the hold is lifted.

Inactive accounts

If an account shows no sign-in activity for 24 consecutive months, we may contact you at your registered email address before taking action. We may delete or anonymize inactive accounts and associated personal data after providing reasonable notice, unless retention is required for an active workspace, subscription, or legal obligation.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes may also be communicated through the Service or by email where appropriate.
