Data Archival and Removal Policy

This policy explains how Prodigent ("we", "us", or "our") archives, deletes, and removes data from app.prodigent.ai, and what choices you and your team have. It supplements our Privacy Policy and Data Retention Policy.

Overview

Prodigent distinguishes between archiving (hiding or marking content as inactive while keeping it available for reference) and removal (permanently deleting data so it can no longer be recovered through the Service).

Archiving helps teams preserve product reasoning history without cluttering active views. Removal is used when data should no longer exist in Prodigent.

Archiving within the product

Events

You can change an event's status to archived. Archived events remain in your workspace and can be restored to an active status at any time by a user with write access.

Initiatives

Initiatives can be marked as archived. Archived initiatives and their associated events remain stored and accessible to workspace members according to their permissions.

Archiving does not delete data. Archived content follows the retention periods described in our Data Retention Policy.

Removing content

Depending on your role and the feature, you may be able to delete individual events, comments, or other workspace content directly in the app. Deletion is permanent within the Service and cannot be undone.

When content is deleted, associated links, reactions, and derived metadata tied exclusively to that content are removed as well.

Disconnecting integrations

You can disconnect Slack from a workspace at any time through Account → Integrations. When you disconnect:

  • Stored Slack OAuth tokens for that workspace are deleted promptly
  • Prodigent stops receiving new content from Slack for that workspace
  • Slack messages and threads already imported into Prodigent remain as workspace content unless you delete them separately

Account deletion

You can delete your account from your profile settings in the app. Account deletion is permanent and removes your personal account data, including your profile information and stored avatar.

Deleting your account does not automatically delete workspace content you created. Content you added to shared workspaces may remain visible to other members. If you are the sole member of a workspace, deleting your account may result in deletion of that workspace and its content.

We process account deletions within 30 days. Residual copies in backups may persist for up to 90 days before being overwritten, as described in our Data Retention Policy.

Workspace membership changes

If you are removed from a workspace or leave a team, you lose access to that workspace's content. The content itself is not deleted unless a workspace owner or administrator removes it or the workspace is deleted.

Workspace owners and administrators can manage membership and invitations. When a paid plan is downgraded, pending invitations may be cancelled and additional team members may be removed according to plan limits.

Service termination

We may suspend or terminate access to the Service if you violate our Terms of Service, if required by law, or if we discontinue the Service.

If we discontinue the Service, we will provide reasonable advance notice where practicable so you can export content that matters to you. After the effective termination date, we will delete or anonymize customer data according to our retention schedules, except where longer retention is required by law.

Your rights

Depending on where you live, you may have rights to access, correct, export, or request deletion of your personal information. You can update profile information in the app at any time.

To request deletion of personal data not covered by in-app controls, or to exercise other privacy rights, please contact us. We will respond within the timeframe required by applicable law.

Limitations

Removal from Prodigent does not delete data held by third-party services you connect (such as Slack or Google) or by our subprocessors (such as Stripe). You are responsible for managing data in those services according to their own policies.

We cannot guarantee that deleted data is immediately purged from all backup systems. Backup copies are overwritten on a rolling schedule and are not used to restore deleted customer content except where necessary for disaster recovery of active data.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes may also be communicated through the Service or by email where appropriate.
